How to Write an RFQ Suppliers Actually Answer
Suppliers prioritise enquiries that look like real orders. The more complete your request, the faster and more accurate the quotes.
Include these every time
- Product specification: materials, dimensions, tolerances, standards.
- Quantity: first order and expected annual volume.
- Target price, if you have one — it saves rounds of negotiation.
- Destination and preferred Incoterm.
- Required certifications and labelling.
- Timeline: sample date and delivery date.
Make comparison easy
Ask every supplier to quote in the same format, currency and Incoterm so you can compare like for like.
